The Austrian Business Agency (ABA) helps companies in Austria to successfully launch and grow. ABA assists in finding highly qualified international employees, as well as the perfect film location and funding opportunities. The high volume of email inquiries needs to be structured and prepared for further processing.
Task
Thousands of email requests can arrive in the inbox every day. Manually processing them is only possible with an immense amount of time and resources with the available resources. An AI-powered web app is intended to help prepare the emails for further processing.

Development of a web app with LLM integration (Mistral) and email functionality with interfaces to Outlook and Dynamics. The process of reviewing, categorizing, distributing emails within the team, and creating or updating them in the CRM should be automated so that employees can process requests more efficiently.

The problem
Every day, a large number of emails have to be forwarded from a central mailbox to the processing teams.
It is important to identify which topics the request contains and who is responsible for them, whether there has already been contact with the sender and whether there is data about it in the CRM .
Special challenges
The emails are pre-sorted and prioritized into different categories using local AI to facilitate further distribution within the team.
The review and internal distribution take place in a specially developed web app, resulting in a drastic time saving.
Contacts and emails are recorded in the CRM, and existing prior correspondence is also taken into account to provide context for processing.
Conclusion
The platform enables the rapid processing of thousands of emails and simplifies daily work. Through the use of AI, requests can be handled more quickly and efficiently. The application is being rolled out to additional teams.
